Privacy Policy

This page is maintained by Voyceio to explain what data the service collects and how it is handled. It describes our current practices and is not an independent audit or certification.

Who we are

Voyceio provides a voice-first update tool. Organizations ("customers") invite their team members ("recorders") to submit short spoken updates, which Voyceio transcribes and delivers as email digests to recipients the customer designates.

Information we collect

  • Account data — name, email address, and organization details for admins who create an account.
  • Recorder data — names and email addresses that an admin adds to their organization's roster.
  • Voice recordings and transcripts — the audio you record and the text transcript generated from it.
  • Usage data — timestamps of submissions, digest delivery events, and basic technical logs needed to operate the service.
  • Billing data — subscription status and plan. Card details are collected and stored by Stripe, not by Voyceio.

How we use information

  • To transcribe recordings and assemble digests for the organization that requested them.
  • To send invite links, reminder prompts, and digest emails.
  • To operate, secure, support, and improve the service.
  • To process subscriptions and prevent abuse.

We do not sell personal information, and we do not use your recordings or transcripts to train our own models.

Recordings marked private

When a recorder checks the private option before submitting, that update is excluded from the shared digest and is visible only to administrators of their organization inside the Voyceio dashboard.

Service providers

We share data only with the providers needed to run Voyceio:

  • Supabase — database, authentication, and encrypted file storage for audio.
  • Lovable — application hosting, transactional email delivery, and the AI gateway used for transcription and digest summaries.
  • Stripe — subscription billing and payment processing.

Retention and deletion

Audio files are deleted automatically. By default, the original recording is permanently deleted 30 days after it is submitted; an administrator may set a shorter or longer window (or opt to keep audio) in their organization's settings, and the recording page always states the window in effect. Once the audio is deleted it cannot be recovered or played back.

Transcripts, along with roster entries, are retained while your organization's account is active. Admins can remove roster members and their updates from the dashboard. When an account is closed, we delete or anonymize associated data within 30 days, except where a longer period is required for legal, tax, or fraud-prevention reasons.

Security

Data is transmitted over TLS and stored with access controls that restrict each organization's records to that organization. Audio files are kept in private storage and served only through short-lived signed links. Administrative access is role-based.

Your choices and rights

Depending on where you live, you may have rights to access, correct, export, or delete your personal information. Recorders should contact the administrator of their organization first, since that organization controls its own roster and updates. You can also contact us directly and we will route the request appropriately.

Children

Voyceio is a workplace tool and is not directed to children under 16.

Changes

We may update this policy as the product changes. Material changes will be reflected in the "last updated" date above.
